New System Announcement

Dear Nursing Facility (NF), Nursing Facility for Mental Health (NFMH), and Intermediate Care Facility (ICF) Administrators:

Effective April 28, 2026, NF, NFMH, and ICF-IID new provider enrollment, change of ownership (CHOWs), and revalidations will move to the online Provider Enrollment Wizard System per MMIS Policy #E2024-117. New provider enrollments, CHOWs, and revalidations will no longer be processed manually by the Kansas Department for Aging and Disability Services (KDADS) for NFs, NFMHs, and ICFs. Our goal is to provide a more streamlined, user-friendly process for our providers.

  • For those facilities that have already received revalidation notices from KDADS &/or Kansas Medical Assistance Program (KMAP) and have not submitted revalidation documentation as of 02/11/2026, you will receive an updated email from KMAP around April 28, 2026, with instructions on submitting your documentation through the online Provider Enrollment Wizard System. This letter will include instructions, a tracking number, and an updated due date to help you get started on your online Provider Enrollment Wizard System revalidation. 
  • For all other facilities, you will receive notification from KMAP 75 days before your revalidation due date. This may mean that, for some facilities, your revalidation due date has been extended. The revalidation letter from KMAP will include instructions and a tracking number to help you get started on your Wizard System revalidation. If you need assistance, please call the Gainwell Provider Line for KMAP at 1-800-933-6593.
  • New enrollments and CHOWs will receive a letter from KDADS, after being approved through the Wizard System, with rate and cost report information.

Important Update: Transition to Electronic Payments for QCA

Important Information GraphicKansas Nursing Home Administrators,

Kansas nursing facilities have successfully transitioned to the State Treasurer's Office Collection Remittance System (CRS), creating a more efficient and secure way to submit Quality Care Assessment (QCA) payments.

Building on this progress, KanCare policy E2026-039 will take effect July 1, 2026, in compliance with K.S.A. 75-7435(j) & K.A.R. 129.10.31(a)(3). The policy states all QCA payments must be made utilizing Electronic Funds Transfer (EFT) via the CRS.  This transition eliminates delays, risks, and added costs associated with paper checks, while ensuring payments are processed quickly and securely.

Homes should be aware that:

  • Checks will no longer be accepted as a method of payment for QCA effective July 1, 2026.
  • All QCA payments must be submitted electronically using Automated Clearing House (ACH)/EFT through CRS, with a strong preference for Treasurer-initiated ACH to ensure accuracy and timely processing.
  • Any QCA payment submitted by check on or after July 1, 2026, will be returned.
  • Returned check payments will be considered late, which may result in additional follow-up or penalties.
